Seats and billing

Each person who can edit something in a workspace occupies one seat, and the plan sets how many seats the workspace has. This page lists who counts, what happens when you go over, and what changes when a plan ends. Also called: editor seats, licenses.

What occupies a seat​

Each person counts once per workspace. A person occupies a seat when any of these is true:

  • They are the workspace owner.
  • They are a workspace member with Edit or Edit & Share.
  • They have Edit or Edit & Share on any project, folder or document in the workspace. This includes guests.
  • They own a project, folder or document in the workspace.

Items in Trash count for the last two rules. People who only have View, and invitations that have not been accepted, don't occupy a seat.

A new invite starts at Edit, so sharing a prototype without changing the level uses a seat.

The number of seats is the seat quantity of the workspace's subscription. When the workspace owner has Moio Lifetime Pro, 5 seats are included, and a subscription's seats are added on top.

Going over​

Where: Settings → Workspace → Members, the seats card at the top.

Seats are not enforced. With every seat taken, inviting someone, raising a level and sharing a document work as before, and nobody is locked out, lowered to View or stopped from editing.

The only effect: when more seats are used than the workspace has, the seats card turns into a warning. The workspace owner and members with Edit & Share on the workspace see it. A workspace on Moio Free has no seats card, so it shows no warning.

Freeing a seat​

Where: Settings → Workspace → Members for a workspace level; the item's Share dialog for a level on a project, folder or document.

  • Lower the person to View everywhere they have Edit or Edit & Share: on the workspace, and on each project, folder or document shared with them directly. They keep their View access.
  • Or remove their access.

Someone who owns a project, folder or document in the workspace keeps the seat at any level, also after you remove them from Members: they then appear under Guests. Removing them there frees the seat (what that removal does).

Who sees and who manages billing​

Where: Settings → Workspace → Billing.

  • The workspace owner and members with Edit & Share on the workspace see the page. Those members get the plan, its status and the number of seats.
  • The price, the payment method and invoices go to the owner only. Subscription management (Manage subscription, Edit payment information) opens for the owner only, and Add seats on the Members page is shown to the owner only.

When a plan ends​

Custom font upload is the one feature that depends on the plan. It needs Moio Lifetime Pro or a subscription that is active, in trial or past due.

  • Uploading a font is refused once the plan has ended. Fonts uploaded earlier stay under Settings → Workspace → Fonts, keep rendering in documents and in preview, and can still be renamed or deleted (Font upload).
  • Nobody loses access or is lowered to View: seats are not enforced.

No other feature is restricted by the subscription plan.
