Projects, moving, deleting and trash
Moving and deleting are decided by your access to the folder or project that contains an item, not by your access to the item. This page covers that rule, the trash, deleting a project, and which dashboard lists span every workspace. Also called: recycle bin, recover a deleted file.
Deleting and moving
Where: dashboard → right-click a file or folder → Delete. Inside a folder the menu also has Move to <parent>, which moves the selection one level up; the top level of a project is named Root folder. Dragging items onto a folder in the list, or onto a name in the path at the top, moves them too.
- To delete or move an item you need Edit on the folder or project that contains it, or you must own the item. Edit on the item itself is not enough: a document shared with you inside a folder you can only view stays where it is (what each level allows).
- A move also needs Edit on the destination folder, whoever owns the item.
- The dashboard offers move targets inside the current project only.
- With several items selected, Delete and Move to are disabled, and dragging does nothing, unless you may remove every item. A move happens as a whole or not at all. A bulk Delete goes item by item: when one item fails, an error appears and the other items are deleted anyway.
- A name that is taken at the destination gets a number:
Reportarrives asReport (2). - A moved item keeps the people it was shared with directly. What it inherited from its old folder is replaced by what the new folder gives (inheritance).
- Duplicate puts the copy next to the original as
Report Copy. It belongs to you and is shared with nobody directly.
Trash
Where: dashboard sidebar → Trash.
- A deleted file or folder leaves its folder for everyone and appears only in the Trash of the person who deleted it. Nobody else finds it in their Trash, the item's owner included. Items in Trash don't open; the only actions are Restore and Delete forever.
- Deleting a folder deletes everything in it. The folder and each item inside are listed separately; Restore on the folder brings its contents back with it.
- Restore returns an item to the folder it came from, with the sharing it had, or to the top level of its project when that folder is deleted too. A name that is taken there gets
(Restored)appended. - Restore needs Edit on that destination at the moment you restore, even for an item you own. Without it Restore is disabled.
- Delete forever can't be undone. It follows the delete rule: Edit on the folder that contained the item, or ownership.
- Empty trash deletes forever every item in your trash that you are allowed to delete, in every workspace, and leaves the rest.
An item is deleted permanently once it has been in the trash for 14 days.
Projects
Where: dashboard sidebar → the + icon next to Projects opens Add Project. Right-click a project → Share, Rename, Delete.
- Creating a project needs Edit on the workspace. Visible to decides who sees it: All workspace members or Invite only. You own the project you create.
- Deleting a project needs Edit on the workspace, or ownership of the project. Edit on the project is not enough.
- While the Projects list shows a single project, that project's menu has no Delete.
Deleting a project is immediate and permanent. The project, every folder and document in it, and the items from it that sit in anyone's trash are deleted. Nothing goes to Trash and nothing can be restored.
What is account-wide and what is per workspace
Where: the workspace switcher is the block in the top-left corner of the dashboard that shows the current workspace's name and your email address.
- Your account has one workspace of its own; the others belong to people who added you as a member.
- The switcher changes the Projects list in the sidebar and the workspace that Settings opens.
- Shared with me, Recents, Starred and Trash are account-wide: they list items from every workspace you can reach, whichever workspace is selected.
- Shared with me lists what was shared with you directly in two places: projects, folders and documents in workspaces you are not a member of, which never appear in the switcher, and folders and documents inside Invite only projects.
- Search (the magnifier icon in the header, which opens a field with the placeholder Search dashboard) matches file and folder names in the current workspace plus everything under Shared with me. It returns up to 50 results; a query of three or more characters also finds names that are close to it.
Document thumbnails
Where: editor → right-click an artboard that sits directly on a page → Set as thumbnail cover.
A document's dashboard thumbnail shows its first page, zoomed to fit, or the cover artboard when one is set. A document has one cover: setting another, on any page, replaces it.
